Terms of Service – Eastern Europe Amateur Baseball Tournament Trip

By reserving or purchasing a spot for the Eastern Europe Amateur Baseball Tournament Trip (“the Event”), you (“Participant”) agree to the following Terms of Service. These terms are written to comply with North Carolina law and applicable U.S. federal laws.

1. Reservation & Payment

Once you pay (in full or deposit), your spot is locked in. We don’t give refunds unless stated before the cut-off date in Section 2. If you don’t meet requirements or fail to pay on time, we can cancel your spot.

1.1 Reservations are confirmed only upon receipt of full payment or a deposit, as specified at checkout.
1.2 All reservations are non-refundable as described in Section 2. Payment constitutes acceptance of these terms.
1.3 The Organizer reserves the right to refuse or cancel a reservation for non-payment or failure to meet eligibility requirements.

2. Refund & Cancellation Policy

If you cancel after the cut-off date, you will not get a refund—no exceptions. This includes sickness, emergencies, or missed travel. Before the cut-off, you can get most of your money back minus an admin fee. After the cut-off, please don’t dispute the charge with your bank; we’ll have to fight it legally.

2.1 Non-Refundable Policy: All payments made toward the Event are non-refundable after January 15, 2026, for any reason, including but not limited to illness, injury, travel delays, personal emergencies, or changes in personal circumstances.
2.2 Before the cut-off date, cancellations may be refunded minus a non-refundable administrative fee of $[Insert Amount].
2.3 This policy applies regardless of whether the Participant attends or completes the Event.
2.4 Chargeback Notice: By accepting these Terms, you agree not to initiate a credit card or PayPal chargeback after the cut-off date. Doing so constitutes a breach of these Terms, and the Organizer reserves the right to pursue recovery of costs, including legal fees, under North Carolina law (NCGS § 6-21.2).

3. Participant Responsibilities

Bring a valid passport and any visas you might need. You’re in charge of getting yourself to the trip’s starting point. Follow the rules from us and the tournament.

3.1 Participants must have valid travel documents (passport, visas if required) for all countries visited.
3.2 Participants are responsible for their transportation to the Event starting location unless otherwise provided in writing.
3.3 Participants agree to comply with all rules, laws, and safety instructions issued by the Organizer and tournament officials.

4. Organizer Responsibilities

We’ll provide what we promised—lodging, jerseys, and tournament play—but we may have to change schedules or locations if needed.

4.1 The Organizer will deliver the Event as described, including accommodations, team jerseys, and tournament participation.
4.2 The Organizer reserves the right to adjust itineraries, schedules, or venues due to weather, travel disruptions, or other events beyond its control.

5. Force Majeure

If something major happens beyond our control (like a pandemic or natural disaster) and the trip can’t happen as planned, we can’t give refunds.

If the Event cannot proceed as planned due to circumstances beyond the Organizer’s reasonable control—such as natural disasters, war, pandemics, travel restrictions, or government actions—no refunds will be issued.

6. Assumption of Risk & Release of Liability

Travel and sports have risks. By signing up, you accept those risks and agree not to hold us responsible unless the law says otherwise.

6.1 Participants understand that sports and international travel carry inherent risks, including injury, illness, and loss of property.
6.2 Participants voluntarily assume these risks and release the Organizer, its staff, and partners from any liability for damages, injuries, or losses, except as prohibited by North Carolina or federal law.

7. Governing Law

If there’s a legal issue, North Carolina law applies, and any case will happen in North Carolina.

These Terms are governed by the laws of the State of North Carolina and applicable federal law. Any legal disputes shall be brought in the state or federal courts located in Buncombe County, North Carolina.

8. Acceptance of Terms

Paying means you’ve read this and agree to it.

By making payment for a reservation or purchasing a full registration, you acknowledge that you have been made aware of these Terms of Service, have had the opportunity to review them, and agree to all their terms in full.
